How the software cost estimate works
Software subscriptions often look inexpensive per user but grow with team size. This calculator converts a per-user monthly price into a yearly budget, adds fixed recurring charges and includes an implementation fee once at the beginning.
Formulas
Monthly-billed year 1: (users × monthly seat price + other monthly fees) × 12 + implementation fee.
Annually billed year 1: (users × monthly seat price × (1 − annual discount / 100) + other monthly fees) × 12 + implementation fee.
Three-year total: annual recurring amount × 3 + the one-time implementation fee. The implementation fee is not repeated in years two and three.
Worked example
For 8 users at $24 per user monthly, a $150 setup fee, and no other monthly fees, monthly billing costs $2,454 in year one. With a 15% annual billing discount, annual billing costs $2,108.40 in year one, a difference of $345.60. The discount assumes the provider actually offers that rate.
What this comparison does not include
Taxes, currency conversion, price increases, seat changes, usage-based overages, minimum contract commitments, cancellation fees, and the opportunity cost of paying annually in advance are excluded. A three-year projection holds prices, seat count, and discount constant; it is not a price guarantee.
When annual billing may not be better
A lower advertised annual rate can come with a nonrefundable commitment. If your team may shrink or switch vendors, compare cancellation policies and cash flow before committing. Use actual vendor quotes to replace the example values.

Are setup fees charged every year?
