Automation ROI Calculator

Estimate annual automation savings, implementation costs, net value, ROI and payback time using transparent assumptions.

Time saved is valued only to the extent you can productively redeploy it. It is not automatically cash saved.

How to estimate automation ROI

Start with time saved by a repeatable task, then estimate how much of that time your team can actually put to productive use. Compare the value against implementation, software, and ongoing maintenance costs.

Calculation method

Annual productive value = hours saved per week × working weeks × hourly value × productive-use percentage. First-year cost = 12 × (subscription + maintenance) + one-time setup. Net value = annual productive value − first-year cost. ROI = net value ÷ first-year cost × 100, when cost is above zero.

Payback uses monthly productive value less monthly recurring expenses, divided into the one-time setup cost. If ongoing costs exceed the benefit, there is no payback at these assumptions.

Worked example

Saving five hours a week over 48 weeks, valuing an hour at $25 and assuming 80% productive reuse gives $4,800 of annual time value. A $40 monthly subscription, $10 monthly maintenance and $200 setup cost total $800 in year one. Estimated net value is $4,000, but it is not a promise of cash savings.

What can change the answer?

Training, exception handling, workflow errors, supervision, seasonality, and adoption can lower realized benefits. For a conservative scenario, reduce hours saved and productive-use percentage rather than assuming every minute becomes billable work.

Frequently asked questions

Does saved employee time equal a payroll reduction?

No. If staff remain employed, the benefit may be faster turnaround or additional capacity rather than lower payroll.

What if my automation has no subscription fee?

Enter zero for that fee, but include any hosting, maintenance, and setup costs you actually expect.

What does a negative ROI mean?

Under the entered assumptions, estimated first-year costs exceed the productive value created.
